Industry: Coal and petcoke trading (Physical Commodity Trading)
Structure: DMCC trading company, Dubai
About Kabui DMCC
Kabui DMCC is a physical commodity trading company based in Dubai, trading steam coal and petcoke for some of the largest industrial companies in the world. As a DMCC trading company, it runs a cross-border model with suppliers, buyers, and banking across the UAE, China, and other Asian countries. Public trade records list close to 700 import and export shipments across more than 40 trading partners, a volume that makes accurate, current accounting essential every month.
The Challenge
Before moving to InBusiness, Kabui worked with another outsourced accounting provider but was not satisfied with the quality of that service. One of the company's existing bank accounts had never been properly reconciled, so the books did not reflect the real position across all of its banks.
For a physical commodity trading company settling payments in several currencies across multiple jurisdictions, that gap is a real risk. Accurate bank reconciliation is what tells the business how much it holds, what it owes suppliers, and whether each trade has settled.
Furthermore, the previous provider kept on repeating the same accounting errors each reporting month, although these errors were noted by the finance team of Kabui several times.
How InBusiness Helped
InBusiness took over the accounting function through a structured handover and moved accounting for the physical commodity trading business onto a clear monthly rhythm. In the first month, the team flagged the bank account the previous provider had left unreconciled and worked alongside the client to bring it current, while uploading and reconciling transactions across the UAE, Chinese, and other Asian banks in Xero.
Rather than leaving everything to month-end, InBusiness reconciles bank movements daily as statements arrive. Supplier invoices, payments, manual journals, prepayment and loan schedules, and the payroll entries provided by the client's HR team are all kept current through the month, which is what reduced the number of days needed to close each period. Beyond bookkeeping, the team handled VAT registration analysis and supported KYC requests from the banks, under one monthly retainer built for a DMCC trading company.
InBusiness also set up a twice-weekly routine, updating the banks and posting all invoices every Monday and Thursday, so the client could check its cash position and arrange payment for its major suppliers. This kept the records up to date and supplier invoices correctly aged, so the client could determine its payment needs and keep to its payment terms. Throughout, a dedicated account manager and a designated accountant respond to client requests the same day, by email and by phone.
The Result
Within the first month, Kabui's books were current across every bank, and the account that had sat unreconciled was brought current. Accounting moved online, with transactions processed quickly in the system, and the company reduced the number of days needed to close each period.
Kabui now works with InBusiness on an ongoing monthly retainer, covering daily reconciliation, supplier payments, payroll posting, and VAT. Instead of managing an in-house finance team, the company works with one accountable team that keeps accounting for its physical commodity trading business accurate and current, freeing its leadership to focus on trading and strategic planning.
"Our company has been working with InBusiness since 2024. We work under an outsourced accounting contract. They offer a highly professional approach, and the team is always available. Thanks to InBusiness's accountants, we've been able to reduce the number of days required to close periods, and accounting is now online — all transactions are processed very quickly in the system."
